In this video, we will follow a speaker's slides from their laptop to your stage. On their own page, each session they speak at has its own Podium slide deck card. They can send a PDF, a PowerPoint or a Keynote file, up to one gigabyte.
They choose the file, and it uploads straight away. When it says ready, they press Send this.
The card now says With the organisers, and they can change it at any time before the event.
In your workspace, the slides appear on the speaker's page under Waiting for you, and on the Speakers board. Open the file to check it, then press Approve.
Approved slides go to the Decks tab, each attached to its session. What happens next depends on the kind of file.
A PDF can become slides, one for each page, that show on your room screens straight from WavesPath. When a speaker's PDF arrives, its card says PDF, not made into slides yet. Press Make slides from this PDF, and a moment later the card shows how many slides it made. A PDF can never fail to open, but animations, transitions and videos inside it do not come across.
A PowerPoint or a Keynote file is kept exactly as the speaker sent it, and marked Runs from a laptop. Your AV team presses Download the original and runs it from the podium computer, with every animation and video intact. It downloads under its own name, and earlier versions are kept too.
One thing to know about Keynote. A Keynote file only opens in Keynote, on a Mac or an iPad. If your podium computer is Windows, ask Keynote presenters to bring their Mac, or to send a PDF or PowerPoint copy as well. You can also add a deck here yourself, if a speaker emails it to you.
The Files tab holds everything else speakers send, such as handouts and photographs, each with a Download button.
Finally, your AV team can have a login of their own that reaches only the decks and files. Open Settings, then Team, and press Invite somebody. Choose the level Selected areas, and the AV team preset. They can see and download every deck and file for the event, and nothing else. In the next video, we will run the day itself.
